Asset Management
Managing the myriad of images, documents and media used in websites
Assets in this context are broken down into Images and Resources these are usually kept in a separate section of the system to facilitate reuse and maintenance.
NetEnable NXT provides a number of ways to find the images and resources that you are looking for. For example, the image library can be viewed as a file list, a tiled image list or as coverflow.
Assets in Documents
NetEnable provides the ability to enable authors to associate an asset with any page by placing or referencing the asset in a desired location with relevant metadata on-display as desired (such as file-type and file size). The system provides the ability for an author to easily identify where a given asset is in use.
Assets can be:
- Referenced within a document using Insert resource. Images and Resources are referenced from a central repository. Changing the item in the repositry automatically updates the image/resource in all referenced instances.
- Associated with the document through "attach resource". Associated resources are packaged as part of the publish process and will automatically appear in the Resource Menu with name, description, type and size. Associated Resources are not changed when the original resource is changed, the Associated Resource is updated when a new version of the document is published, this allows the integrity of historical records to be maintained. Assets associated with a document are listed within the document and reported on as:
- Available
- By Category - Resource Name. Web Title. Author. Created Date. Modified Date.
- By Resource Type - Resource Name. Web Title. Author. Created Date. Modified Date.
- Allocated
- By Document - Resource within the document. Author. Created Date. Modified Date.
- By Resource - Document containing Resource. Author. Created Date. Modified Date
Asset metadata
NetEnable provides for specified metadata fields to be captured when an asset is loaded into the system including: Submitted by (automatically filled with the logged-in author details), Supplied by (text field), Business Unit (selected from a drop-down list, copyright clearance obtained (check box) (if not owned by Government. Condition of reproduction text field).
